About the client
A company managing stock, customer orders, vendors and purchasing, with its books kept in QuickBooks.
Inventory, orders and accounting each lived in a different place. Moving information between them meant typing it again, and every copy was a chance for an error.
Managers could not answer simple questions, such as where an order stood or how much stock was left, without checking several systems. The goal was one system where a sale, a stock movement and a vendor purchase are recorded once and visible to everyone who needs them, with accounting kept in QuickBooks.
What had to be solved
The cost of separate systems showed up in delays, errors and blind spots.
- Manual data entry across tools was slow and produced mistakes.
- Accounting was disconnected from operations, so financial tracking could not be trusted.
- There was no single view of order status and stock levels.
- Procurement had little oversight of vendors and their purchase orders.
How the team built it
OSKI built a single platform for inventory, order processing, purchasing, accounting and reporting, so each module reads from the same data.
Routine data entry was automated, so a record entered once is reused wherever it is needed. Customer profiles, inventory items and purchase orders share the same database, which removes the copies that used to drift apart.
Through the QuickBooks API, purchase orders and vendor data sync automatically. Customer profiles keep their QuickBooks ID alongside accounting, order and shipping tabs.
Each purchase order links directly to its vendor, giving procurement a clear picture and fewer mismatches.
Inventory levels, order status and vendor data update in real time. Managers check one screen instead of asking around or comparing spreadsheets.
What changed
Operations and finance now work from the same live data.
- Orders are fulfilled 20% faster.
- Reports are generated 40% faster.
- Automation efficiency improved by 30%, with far less manual entry.
- Fewer order and inventory errors, and fewer customer complaints.
- Managers see inventory, orders and vendors in real time.
